Who Better to Explain ShareFile’s Zapier Global App than the Team that Built It?
Citrix ShareFile is a leading cloud storage tool used by enterprise and business customers to store, sync, and share data securely from any device.
Given its 55,000 customers and 17 million users, ShareFile’s peers are eager to integrate into this thriving B2B ecosystem. But by the fall of 2015, ShareFile had built only a handful of direct integrations. To quickly scale integration options, Citrix asked Left Hook to build their first iPaaSified presence on Zapier, enabling thousands of new integrations to over 500 other B2B apps.
With its Zapier Global App ready for launch, Citrix next needed educational materials. To drive awareness of a “complicated” new feature like Zapier integrations, ShareFile knew it couldn’t rely on a “build it and they will come” strategy. Because ShareFile users are typically non-technical business leaders, phone calls from Sales Reps and Account Managers are the primary method for education and persuasion. Easy-to-read and easy-to-print PDF materials are the key to driving internal understanding and user adoption.
Left Hook’s Solution
Given its deep understanding and extensive testing experience with ShareFile’s new Global App, Citrix asked Left Hook to help write three mission-critical “leave behind” primers: “Zapier Explained,” “Microsoft Business Apps & ShareFile,” and “Google Apps & Citrix ShareFile.” Each draft came complete with many helpful screenshots and user-friendly language.

Zapier (rhymes with happier) empowers you to connect ShareFile with the other apps you use to run your business. You can securely share large data files and automate repetitive tasks, saving you time and drudge work.
Here’s how ShareFile and Zapier work together. Zapier thinks about software integrations in terms of “Triggers” and “Actions.” Activity in one app triggers a resulting action in another app, without you needing to do any work. Connecting two apps together is called making a “Zap.”
Zapier lives in the middle, monitoring your triggers and initiating actions in whatever workflow you establish. You can enable many different Zaps involving ShareFile and many other third-party apps. (See some example Zaps below.)
Here’s an example to help explain the power of ShareFile and Zapier.
Let’s say you want to send an invoice to a customer. First you create the invoice in Microsoft Word. Next you save the document in Microsoft OneDrive, the online storage system your business uses to store and share files internally.
Now you want to share the invoice securely with your customer via email. You don’t want to send an insecure attachment that gets stuck in their spam filter. You also want to keep track of when they download the invoice.
You could manually upload the invoice a second time to ShareFIle, but that’s a redundant task. But with Zapier, you could expect to find the invoice waiting for you in ShareFile automatically.
Let’s explain how easy it is to automate this process using Zapier.
First, you set up a Zapier trigger that scans for any new file uploaded to a folder on OneDrive labeled Customer Invoices. When any invoice is uploaded to the specific OneDrive folder, Zapier executes an Action that automatically uploads a copy to your corresponding ShareFile folder. Every time you create a new invoice, you’ll be ready to send the file via ShareFile within minutes.
Once the file is in ShareFile, you can send a link manually via Outlook or another email tool, or set up an automatic email to your customer via ShareFile itself.
